Submitting a Numbered Publication
Numbered publications should present original material, written by field specialists and peer-reviewed according to the expectations of each department’s leadership. The information should be unbiased and based on science and research.
The ultimate purpose of numbered publications is to help people solve problems. In most cases, the writing should be targeted toward a non-scientific, non-academic audience. The documents may range from one to 300 (or more) formatted pages in length, but they commonly are four to eight pages.
The editing provided for your work will follow scholarly standards and style guidelines of the University of Kentucky and the Martin-Gatton College of Agriculture, Food and Environment. The editors also follow the more general style guidelines of the Associated Press Stylebook and/or the Chicago Manual of Style unless other style guidance is required and provided by the authors.
Checklist for Submitting a Numbered Publication

Have you obtained permission from your department chair for publication?

Have you obtained permission from your CES Assistant Director (ANR, FCS, 4-H)?

Has your work completed the peer review process in accordance with your department’s expectations?
Submission

Are the name and email address of the primary author contact provided?

Has the submission been identified as a new publication or a revision of a previous publication?

If the publication is to be printed or copied, have specs been provided for a cost estimate?

If the project has a specific due date, has that been communicated to Publications?

Are all additional tables or graphics to be included ready to be submitted with the Word document?

Has all the text been completed and finalized with all co-authors and collaborators?

Have all peer reviews been completed and all resulting edits been incorporated into the final draft?

Is the text saved as a Word file, with as little formatting as necessary? (Omit extra fonts and text boxes.)

Are any notes to the editor or designer marked with a distinctive color or attached as comments?
Tables

Are tables included as Excel documents (preferred) or Word documents?
Photos and Graphics

Are photos or graphics of sufficient quality (72 dpi for web use or 300 dpi for printed materials)?

Are all necessary captions, credits and permissions included for all images?
Credits and Permissions

Have permissions been obtained for use of any art, photos, tables, graphics or text originally published elsewhere that may be copyright protected? Are the permissions listed with the material?

Are photo, table or graphic credits included with caption information in accordance with the creator/owner’s expectations, if copyright permission or licensing is required?

For photos taken by UK personnel, has the photographer been identified and credited?
References and Recommended Resources

Are all references or recommended reading lists formatted in a simple and consistent way?

Are all sources mentioned within the text included in the reference section? 
Edits

Have revisions from all authors been collected into one document for resubmission?

Have all tracked revisions from the editor been reviewed and addressed as needed in the document?

Have any additional revisions by the author been marked as tracked changes in the document? For PDF documents, have any changes by the author been highlighted and explained in PDF comments?
